Problems we fix: Email going to spam
Why are my emails going to spam? Usually three DNS records and the wrong server.
Clients say they never got your invoice. Your quote sits in a junk folder. Replies from your own website form bounce. For most small businesses the cause is the same: email running on the website’s shared server with no SPF, DKIM or DMARC. We fix the records, move your mail to real business email, and your messages start landing in the inbox again.
The symptoms
How you know your domain has a reputation problem.
Any one of these means Gmail, Outlook or Yahoo has stopped trusting mail from your domain.
Clients say they never got your email
The message was delivered, straight to junk. Gmail and Outlook filter on sender authentication first and content second. No SPF or DKIM on your domain and you lose before they read a word.
Emails from your website form are missing
Form notifications sent by the website server from your own domain fail authentication, so the leads land in spam or are dropped. Same cause, same fix, plus the form settings.
“550 blocked” or “message rejected” bounces
Your mail server’s IP is on a blocklist, often because another site on the same shared server was sending spam. On shared hosting you inherit your neighbors’ reputation.
Email and website on the same hosting account
When email runs on the website server, a hack or an outage takes both down at once, and a full inbox can fill the disk and crash the site. They belong on separate services.
Someone is spoofing your address
Scam emails pretending to come from your domain reach your clients. Without DMARC there is nothing telling receiving servers to reject them. DMARC with a reject policy stops it.
Google Workspace or Microsoft 365, still going to spam
You already pay for real business email and it still lands in junk. Usually SPF includes too many services, DKIM was never turned on for the domain, or the website sends mail that breaks DMARC alignment.
What we do
Email that reaches the inbox, separated from the website.
- Full check of your domain’s SPF, DKIM and DMARC records, blocklist status and sending history
- Correct records written and verified for every service that sends on your behalf: mailbox, website, CRM, invoicing
- DMARC moved to a reject policy once reports show everything legitimate is aligned, so spoofed mail is blocked
- Business email on its own service, separate from the website server, with unlimited mailboxes per domain
- Website form notifications sent through authenticated email so leads stop landing in spam
- Mailbox migration from the old server with no lost mail and no downtime
- Monthly deliverability check on Core Plus and Core Pro
- Extra mailboxes, aliases and forwarding set up as you need them
What it costs
Business email: $50 per month per domain, unlimited mailboxes. Spam filtering, encryption, webmail, and setup on your phones and computers included. Add it to any SpeedSolid plan or use it on its own.
DNS and deliverability fix only: $150 per hour, usually one hour, for a domain that keeps its current mail provider. Included for SpeedSolid clients on Core Plus and Core Pro.
Pay annually and save 10 percent on hosting plans. Migration is free.
How we compare
Why not keep email on the hosting account, or buy Workspace and hope?
Where each option leaves you when a client says the invoice never arrived.
| What matters | SpeedSolid | A freelancer | Big-box host | Doing nothing |
|---|---|---|---|---|
| Who answers when email breaks | One team that runs your email and your website, phone and tickets 24/7/365 | Whoever built the site, if they do email at all | A provider help desk that cannot see your website or DNS | Nobody, until a client complains |
| SPF, DKIM, DMARC | Written, verified and monitored for every service that sends for you | Set up once if you ask, never checked | Documented, you do the DNS yourself | Missing, which is why mail goes to spam |
| Separation from the website | Email on its own service, website on its own hosting | Depends who you hire | Yes, but the website still sends unauthenticated mail | Everything on one shared account |
| Form notifications | Authenticated and tested daily | Not their job | Not their job | Land in spam |
| Spoofing protection | DMARC reject policy once aligned | Rarely | Only if you configure it | None |
| Price | $50 a month per domain, unlimited mailboxes | $75 to $150 an hour | $7 to $14 per user per month plus setup | Free, and costing you clients |
Your first 30 days
What happens in the first week.
No mail is lost during the move. Headquartered in California with teams and clients in Texas, New York, Florida and Hawaii, servers in multiple US regions, support in US business hours.
Day 1: diagnose
We read your current DNS, check blocklists, send test messages to Gmail, Outlook and Yahoo seed addresses and show you exactly where mail is failing.
Days 2 to 3: fix and move
Correct SPF, DKIM and DMARC written. Mailboxes created on the business email service, old mail migrated, phones and computers reconnected, website forms switched to authenticated sending.
Days 4 to 7: verify and lock down
Seed tests confirm inbox placement, DMARC reports reviewed, policy moved toward reject, and you get a short written summary of what changed.
What your site runs on
Enterprise infrastructure, with a human team in front of it.
SpeedSolid runs on enterprise cloud infrastructure that is audited and monitored around the clock, and we pass those commitments down to your website. What that infrastructure does not include is someone who knows your site and answers the phone. That part is us.
Audited data centers
Independently audited for SOC 1, SOC 2 and SOC 3, ISO 27001 and PCI DSS Level 1, with HIPAA-eligible infrastructure available on Core Pro private servers.
Published uptime commitments
Core Pro private cloud and managed WordPress servers carry a 99.99% commitment, shared hosting 99.9%, with a 24/7/365 network operations center behind all three.
East and West Coast servers
Northern California, Los Angeles and Ashburn, Virginia, with an Amsterdam option for European traffic. Your site sits closest to your customers.
Uptime commitments and certifications apply to the underlying infrastructure. SpeedSolid plan commitments are listed on the pricing page.
FAQ
Questions we get asked
Why are my emails suddenly going to spam?
Something changed: a new service started sending on your behalf without an SPF entry, a neighbor on your shared server got the IP blocklisted, or Gmail and Yahoo tightened authentication rules, which they did in 2024. A DNS check finds it in minutes.
What are SPF, DKIM and DMARC in plain English?
SPF is a list of servers allowed to send for your domain. DKIM is a signature proving a message was not altered. DMARC tells receivers what to do when a message fails those checks and sends you reports. All three are DNS records, and all three are required to land in the inbox reliably.
Do I have to leave Google Workspace or Microsoft 365?
No. If you already pay for either, we fix the records and the website side and leave your mailboxes where they are. Our $50 business email is for businesses still running mail on their hosting account.
Will I lose old emails when you move my mailboxes?
No. We migrate the existing mail to the new mailboxes before switching the records, and the old server keeps receiving until the switch is confirmed.
Can you fix my website form emails at the same time?
Yes, that is part of the same job. Form notifications are switched to authenticated sending and tested daily. See the contact form page for the details.
Is $50 per domain for one mailbox?
No. It is per domain with unlimited mailboxes, so a ten-person office pays $50 a month, not $50 per person.
